How can I apply for a copy certificate?

You can apply for certificates for events that happened in our area, Newcastle upon Tyne. See our Useful Links page for other Register Offices in the local area.

If the event happened within the last month, contact the Register Office for a copy certificate.

If you need a certificate on the same day, please contact the Register Office before 3.30pm.

Online
You can apply for a birth, death or marriage certificate using our online form. Each certificate costs £9.00 which can be paid by credit or debit card. A handling fee of 2% is added to all credit card transactions.

By phone
Phone the Register Office to ask for your copy certificate.  Lines are open Monday to Friday from 8am to 6pm. Payment can be made over the phone by credit or debit card.  A handling fee of 2% is added to all credit card transactions.

In person
The Register Office is open from 8.30am to 4pm from Monday to Friday. Payment can be made by cash, cheque, postal order, debit or credit card. A handling fee of 2% is added to all credit card transactions.

By post
Send us the details of the certificate you require together with your payment. Payment can be made by cheque, postal order or International Sterling Money order.

What information will I need?

You must supply this information in order for your request to be processed.

Birth - first name at birth, last name at birth, year of birth and first and last names of at least one of the parents.

Death - first and last name of the deceased person and the year of death.

Marriage - first and last names of at least one of the married couple and the year of marriage.

Alternatively you can apply to the General Register Office:

  • in person to the General Register Office (GRO) in London, or
  • to their office in Southport by post, fax or e-mail. (See Useful Addresses).

If you do not know which district Register Office to contact, consult the General Register Office (GRO) Index. Civil registration began in England in July 1837 and the index lists names alphabetically for each quarter of each year giving the registration district in which the event took place. The GRO Index is available in Newcastle City Library.
