The Council is required to collect certain personal data in order to fulfil its operational and legal obligations. We recognise the importance of the lawful treatment of personal data; it ensures confidence in the organisation and helps provide relevant and accurate information for use in the Council’s operations.

We know how important it is to protect your privacy and to comply with the Data Protection Act 1998. We have a comprehensive set of information and technology policies, standards and procedures designed to ensure compliance with the Act. We keep our requests for personal data to the minimum necessary to complete our work and retain any personal information we obtain only for as long as we need it. We take appropriate measures to safeguard the integrity and confidentiality of data we hold from unauthorised access. All of our staff and contractors have an obligation to understand and comply with our data protection policies.

When we share information

We may share personal information within our organisation or with other bodies where it would be compatible with the purpose for which we collected it, and/or where we are required or permitted to do so by law. We will inform you of this when we collect any such information.

There are some cases where we can pass on your information without telling you, for example to prevent and detect crime or to produce anonymised statistics. In all cases - whether data is shared internally or externally – we will act in accordance with the DPA and other relevant legislation.

How to find out what personal information we hold about you

You can find out if we hold any personal information about you by making a “subject access request” under the Data Protection Act 1998 (DPA). If we do hold information about you, and are allowed to disclose it, we will:

  • give you a description of it;
  • tell you why we are holding it;
  • tell you who it could be disclosed to; and
  • let you have a copy of the information in an intelligible form.
